Visitors and playing guests.

Dear members,

Re. The system of playing guests/visitors isn’t working properly. Please could I ask you all to take some responsibility for this very important issue.

As you know we’re a members’ club, as such much of our money is generated from our membership fees and it’s imperative these are maintained to their maximum level. To achieve this, we need to encourage more members to join our club and help pay for the wonderful courts and clubhouse, along with the utility bills etc., and there’s a process we use to facilitate this, the Buddy Scheme. Another way we of introducing potential new members, is by providing the option for guest/visitors to come and play at the club. This could be a friend or a member of your family who's curently not a member of the club, but we hope they also might be encouraged to join, and there is a process in place to accommodate this:

  1. Add your guest as an opponent on the booking system, a £5 charge will be applied for an Adult and £2.50 for a Junior. Alternatively, use the manual envelope system in the clubhouse.
  2. Sign that person into the Visitors’ book when they arrive to play, now noting 1st, 2nd or 3rd visit. This is critical, as each non-member can only play at the club three times a year, regardless of whomever is signing them in.

We have been encouraging potential new members to visit the club, offering them several occasions to attend to ensure that they know what they are signing up for, and this process has been invaluable in gaining long-term new members. However, this should always be done through the Buddy Scheme or with the knowledge of the membership secretary, and this is one area where the system has slightly broken down. Alongside this, looking at the visitors’ book, not enough members are following the guest protocol and potentially some visitors are attending the club more than their allowance of 3 times per year. It is critical that this is brought into line as it will inevitably affect our membership and the overall fees we pay and gain for the club.

There is also the issue of our insurance and the fact that any visitor to the club should be signed into the Visitors’ book.

This is your club, please take responsibility.

Thank you in anticipation,

Membership Secretary, on behalf of the General Committee
